These are the standard terms we work to for all our clients.

Fixed Price Agreement For Accountancy and Tax Services
Further to our initial meeting I thought it would be a good idea to set out in writing the understanding between us as to the scope of the work that we will perform for you. To avoid any misunderstandings, this Agreement defines the services we will perform for you as well as your responsibilities under this Agreement.

We will perform the services set out in the attached Schedule of Services for you for your 2013/14 accounting requirements.
Because our Agreement provides ongoing access to the accounting, tax and business advice you need on a fixed-price basis, you are not inhibited from seeking timely advice by the fear of a clock running endlessly. Our services are designed around fixed prices, as opposed to hourly rates, and offer you access to the accumulated wisdom of the firm through accountants with substantial experience who can help enhance your company’s future and achieve its business goals.

While the fixed price entitles your company to unlimited consultation with us, if your question or issue requires additional research and analysis beyond the consultation, that work will be subject to an additional price negotiation before the service is to be
performed, and an Extra Work Order will be issued before delivery of the additional service, with payment terms agreed to in advance.

Unanticipated Services
Furthermore, the parties agree that if an unanticipated need arises (such as, but not limited to, an audit by a taxing agency, or any other service not anticipated in this agreement by the parties), we hereby agree to perform this additional work at a mutually agreed upon price before the service is provided. This service will be billed separately to you, as part of an Extra Work Order, and will be payable upon presentation (or payable upon terms mutually agreed upon).

Service Guarantee
Our work is guaranteed to the complete satisfaction of the customer. If you are not completely satisfied with the services performed by us, we will, at your choice, either refund the price, or accept a portion of said price that reflects your level of satisfaction.

Data protection
We confirm that we will comply with the provisions of the Data Protection Act 1998 when processing personal data about you [and your family]. In order to carry out the services under our engagement letter and for related purposes such as updating and enhancing our client records, analysis for management purposes and statutory returns, legal and regulatory compliance and crime prevention we may obtain, process, use and disclose personal data about you.

In order for our services to be as efficient and cost effective as possible most documents will be emailed to you in electronic format rather than by post. To maintain confidentiality if you request, sensitive documents can be password protected.

We are committed to providing you with a high quality service that is both efficient and effective. However, should there be any cause for complaint in relation to any aspect of our service please contact Shelagh Brownlow on 07734 393944. We agree to look into any complaint carefully and promptly and do everything reasonable to put it right. If you are still not satisfied you can refer your complaint to our professional body, the Institute of Chartered Accountants in England and Wales.

Professional Indemnity Insurance
In accordance with the disclosure requirements of the Provision of Services Regulations 2009, our professional indemnity insurer is Hiscox.
The territorial coverage is worldwide excluding professional business carried out from an office in the United States of America or Canada and excludes any action for a claim brought in any court in the United States of America or Canada.

Client Identification

As with other professional services firms, we are required to identify our clients for the purposes of the UK anti-money laundering legislation. We may request from you, and retain, such information and documentation as we require for these purposes and/or make searches of appropriate databases.

Commissions or Other Benefits
In some circumstances we may receive commissions or other benefits for introductions to other professionals or in respect of transactions which we arrange for you. Where this happens we will notify you in writing of the amount and terms of payment and receipt of any such commissions or benefits.
